I have probably opened a PDF at some point. Though I just need to hide this one piece of information before I send it. Maybe it was a phone number, bank account number, home address, employee salary, medical information or an identification number.

At glance putting a black rectangle over the information seems like an easy solution.. There is an important difference between hiding PDF redaction information visually and actually removing it from a PDF redaction file.

That is where PDF redaction comes in. How I Redact a PDF Safely

When I redact a document I prefer to follow a process.

Step 1: Make a Copy of the Original

I never want my redacted copy to become the version of the document.

I keep the original securely stored. Create a separate working copy.

Step 2: Identify Sensitive Information

I carefully review the document. Decide what actually needs to be removed.

I don't rely on a quick visual scan because sensitive information can appear in tables, images, headers, footers or other areas.

I select the text, image, page area or other information that needs to disappear.

Redaction and sanitization are. Not identical. Sanitization is specifically concerned with removing this type of information.

Step 6: Review the Final PDF

I close. Reopen the final file.

Then I check:

• Can I select the redacted text?

• Can I copy and paste it?

• Can I search for the information?

• Are comments still present?

• Is information visible in images?

• Does the document contain unnecessary metadata?

• Did I accidentally remove information that should remain?

• I treat this inspection as mandatory.

My Advice Before Removing Sensitive Information From PDFs

Here are the rules I personally think are important to follow.

1. Never use a box as your only way to protect the information

It might cover the information so it can't be seen but it doesn't always get rid of the data that is underneath.

2. Keep the file apart

After I do the redaction I don't want to accidentally change my original file.

3. Remove text. Images both

Important information might be in screenshots, scanned pages, pictures, signatures or charts.

4. Don't miss hidden details

Metadata, notes, items that are inside the file and hidden parts can sometimes have information that's not easy to see. Professional ways of handling this redaction from sanitization.

5. Look at the file

I always open the finished PDF again and check it.

6. Be careful with files that have OCR

If a PDF has pages that were scanned the sensitive information might be part of an image. Not text that you can select.

8. Think about all parts of the document

I don't only look at the section.

Is PDF Redaction Permanent?

I wouldn't say that means "I can redact and then ignore the file."

What Is the Difference Between Redaction and Cleaning?

This is another thing to remember.

Redaction is about taking out the information that I want to hide from the file that people can see.

Cleaning is about getting rid of the hidden parts that might still be in the file.

Cleaning: Remove metadata, notes, hidden parts or items, inside the file that should not be shared.

For important documents I think both steps are needed.
